Baserow View Customization - Toolbar and View Menu
View settings in Baserow live in two places: the toolbar at the top of the view, and the three-dot menu (⋮) next to the view’s name. This article covers what each one offers, and how it plays out across grid, gallery, and form views.
Overview of view configuration
The toolbar gives quick access to data organization - filters, sorting, and grouping. The view menu (⋮) holds operations that manage the view itself - renaming, duplicating, exporting.
Configuration changes save automatically and persist when you come back to the view. Collaborative views share one configuration across every workspace member; see Collaborative views for the details.
Toolbar options
The toolbar at the top of every view gives quick access to data organization. What’s available depends on the view type.

Data organization features
Filters - show only records that match a condition. Available in most view types for focusing on the data that matters.
Sort - order records by a field’s value, ascending or descending. Changes the display order without touching the data.
Group - roll records up into collapsible sections by field value. Grid view only.
Hide fields - control which columns show up in the view. Each view can display a different set of fields.
Row height - adjust row size in grid view (short, medium, tall, extra tall) to show more or less content per row.
View-specific features
Customize cards (gallery) - choose which fields appear on a card and how they’re arranged.
Preview (form) - see how the form looks to the person filling it in, before you share the link.
View menu operations
Click the three-dot menu (⋮) next to any view’s name to open the operations that manage the view.
Rename a view
- Click ⋮ next to the view’s name.
- Select Rename view.
- Enter the new name.
- Press Enter or click outside the field to save.
Clear, descriptive names help a team find the right view quickly - “Active projects - marketing” beats “View 2.”
Delete a view
- Click ⋮ next to the view’s name.
- Select Delete view.
- Confirm the deletion.
Important: you can’t delete a table’s last collaborative view - at least one collaborative view, accessible to every workspace member, must always remain.
Duplicate a view
Duplicating copies every view setting, including filters, sorts, field visibility, and formatting. Use it to build a variation of an existing view or test a new configuration safely.
Click ⋮ next to the view’s name -> select Duplicate view.
Export a view (grid view only)
- Click ⋮ next to the view’s name.
- Select Export view.
- Configure the CSV export options.
- Click Export.
Only records currently visible in the view, after filters, get exported. For every export option in detail, see Export a view .
Import a file
- Click ⋮ next to the view’s name.
- Select Import file.
- Choose a file (CSV, JSON, or XML).
- Map fields or create new ones.
- Confirm the import.
Imported data adds new rows to the table and shows up in every view, subject to each one’s own filters.
Configure webhooks
- Click ⋮ next to the view’s name.
- Select Webhooks.
- Create or manage the webhook configuration.
Webhooks notify external systems when records in the table are created, updated, or deleted.
Organize views
Change the order of views by dragging them in the view switcher’s dropdown. The first view in the list becomes the default that loads when the table opens.
For collaborative views, reordering affects every workspace member. View order decides which view loads by default and helps keep a long list organized.
View memory
Baserow remembers the last view you used for each table. Coming back to a table opens it in the view you last worked in, which keeps your day-to-day workflow moving.
This memory works:
- across different tables in the same database;
- across multiple browser tabs;
- across sessions, after closing and reopening Baserow.
Frequently asked questions
Which settings affect other users? In collaborative views, every configuration change affects everyone with access to that view. Data changes - adding, editing, or deleting records - always sync across every view, regardless of its settings.
Can I reset a view to its default settings? Not directly, but you can remove settings one at a time: clear every filter, remove sorts, and unhide every field. Alternatively, create a fresh view and delete the configured one.
Why don’t I see certain toolbar options? The available options depend on the view type and your permissions. “Hide fields,” for instance, only shows up in grid view, and “Customize cards” only in gallery view. If an option seems to be missing unexpectedly, check your workspace role.
Do view settings slow Baserow down? No, view settings don’t have a noticeable performance impact. Complex filters on very large tables (10,000+ rows) might take a little longer to calculate, but it’s typically imperceptible.
Can I copy a view’s settings to another table? Not directly. You can only duplicate a view within the same table - settings don’t transfer between tables. You’ll need to recreate filters, sorts, and other options by hand in the new table’s views.
